Getting Started

Setup your account, create schools, and understand user roles

Key Concept: Multi-School Management

As a SchoolRipe user, you can manage multiple schools under one account. Each school operates independently with its own staff, students, and settings.

To create your first school:

  1. After signing up, you'll be directed to your dashboard
  2. Click on "Add New School" button
  3. Fill in your school's basic information
  4. Configure your school's subsystem (Anglophone/Francophone/Bilingual)
  5. Set up your first academic year with start and end dates
  6. Configure basic settings (number of sequences, etc.)
  7. Start adding classes and staff members

Owner
  • Full access to all features
  • Manage subscriptions and billing
  • Delete schools permanently
  • Assign any role to staff
  • Access all financial data
Admin
  • Manage most school operations
  • Cannot manage subscriptions
  • Cannot delete the school
  • Can manage staff and students
  • Access to academic management

User Management

To invite staff members to join your school management:

  1. Navigate to Settings → Staff Management
  2. Click on the "Invite Staff" button
  3. Enter the staff member's email address
  4. Select their role from available options
  5. Set specific permissions based on the role
  6. Send the invitation
  7. The staff member receives an email invitation
  8. They can accept and create their account

Academic Management

Classes, subjects, sequences, marks, and assignments

Key Concept: Sequence-Based Academic Year

The academic year is divided into sequences. Mark entry is only possible when an active sequence is selected. This allows controlled assessment periods throughout the year.

Sequence configuration controls when teachers can enter marks:

  1. Go to Settings → General Settings
  2. Set the number of sequences per academic year (typically 2 or 3)
  3. Configure paired sequences if your system uses them
  4. Set custom names for sequences and paired sequences
  5. Select the current active sequence from the dropdown
  6. Save changes
Mark Entry Control:

When "None" is selected as the current sequence, mark entry is completely disabled. This is useful during holidays or when you want to prevent unauthorized mark entry.

Managing academic years and switching between them:

  • Create New Academic Year: Done in settings under Academic Year tab
  • Switch Years: Admins and staff (except teachers) can switch to previous academic years
  • Data Preservation: All data from previous years remains accessible
  • Year-End Process: Create new academic year before current one ends
  • School Deletion: Only owners can delete schools, found under Academic Year tab
Data Access Across Years:

When you switch to a previous academic year, you can view and generate reports for that year, but you cannot modify historical data to maintain integrity.
